Privacy policy
This policy describes the household-operated Richards Family Dashboard Gmail connection. The public information site does not connect Gmail accounts or display mail; the actual dashboard and Gmail service are private.
What the owner authorizes
The owner chooses each Google account and personally approves the gmail.readonly permission at Google. The service can then verify the account identity from Gmail’s profile and search or read messages, threads, and attachments from those connected accounts. It cannot send, modify, or delete mail. Gmail remains the original source; results include the source account and Gmail message or thread identifiers.
To manage connections, the owner signs in with their Google account. The private dashboard checks the Google-verified email address to restrict account management to the owner and uses a secure, time-limited browser session. This identity sign-in does not grant access to mail; connecting a Gmail account is a separate step that requests read-only Gmail permission at Google.
How the connector uses and stores data
Authenticated, owner-approved family agents use the shared connection to retrieve selected Gmail results on demand for household questions. The private service stores encrypted Google refresh grants and account identity, connection status, and check times. It does not maintain a persistent copy of the inbox or save message bodies or attachments in its connector database. Retrieved data is returned to the requesting authenticated client; it can include message headers, snippets, body text, and requested attachments.
Agent conversations and external processing
Retrieved content can be included in ordinary protected family-agent conversations. Depending on the family agent’s configured doorway, selected content can be sent to an external AI/model provider to answer the requested question. Such conversations may retain excerpts; family continuity may retain relevant facts and Gmail source references. This is distinct from the connector’s storage and is not a wholesale inbox mirror. Provider processing and retention depend on the provider and the account’s terms and settings; this policy does not claim that all retrieved mail stays on the NAS, that nothing persists outside it, or that every provider has the same training or retention practice.
Access and transfers of Gmail-derived data are limited to the requested, visible household features and the services needed to provide them. The connection is not for advertising, sale to data brokers, unrelated profiling, or general-purpose model training. A family-agent route that cannot meet Google’s Limited Use requirements must not receive Gmail-derived data.
Access, security, and choices
Only the private dashboard administrator can add or remove connected accounts. Approved family agents authenticate separately to the shared read-only retrieval service; connected household accounts are not isolated into separate agent inboxes. The service uses HTTPS on the home network and keeps connection credentials outside this public website. The owner can disconnect an account in the dashboard, which removes its active local grant and requests Google revocation; the owner can also revoke the grant directly in Google Account settings. Revoking access prevents new retrieval but does not automatically erase results already included in prior protected conversations, continuity notes, or recovery backups. Questions or deletion requests about those retained records should be directed to the household operator.
This public website
These static information pages have no account connection form, analytics script, or email collection. Their hosting provider may process ordinary web-request data such as IP address and browser headers under its own terms. The website contains no Google credentials or message content.
